In the characteristic, historic building – once a courthouse – owners Luberto and Reinata Agricola combine history with a contemporary, colorful interior. The company features 15 unique hotel rooms, a lively Grand Café with a large summer terrace, and a separate event location: De Rechtbank, located in the former post office. Automation and schedule templates

When Yanou took on her current role, she immediately saw opportunities for modernization and automation. “I know that when I started working here, time had stood still for a bit in some ways,” she says. Yanou dove right into the software, and with the help of her account manager Isabel, they optimized their Nostradamus environment, and Yanou quickly learned how to get the most out of the software. She also immediately started implementing smart automations. “Compared to how things used to be, Nostradamus has been a huge step forward: besides employee scheduling, everything is now registered in one central place, including plus-minus hours. Transferring hours is easy thanks to the integration with Easyflex for payroll administration. That saves an enormous amount of work and errors,” Yanou adds.

The biggest gain is in employee scheduling. “Thanks to the schedule templates, we save a huge amount of time when creating schedules.” A schedule template in Nostradamus is a standard layout where you define the basic staffing levels with times and shifts. When creating a weekly schedule, this is automatically applied, which saves time and makes efficient scheduling easier. “We often have the same people in departments like housekeeping and dishwashing who also frequently work the same shifts. Thanks to the schedule templates, I only have to add the template and fill in the missing colleagues for the open shifts, which is very quick,” says Yanou. They use four schedule templates. “We have created a new schedule template for each quarter. These are different types of schedules that we can now compare with each other, so that next year we can just copy the schedule templates and have everything set up correctly right away.”

The seamless integrations with other systems contribute greatly to efficiency. The integration with the POS system (Index) delivers valuable sales data directly into Nostradamus. The integration with Easyflex is perhaps the biggest time-saver. “It saves time because I no longer have to double-check if the wages are correct or if address details are different,” Yanou explains. This allows the wages for zero-hour contracts to be transferred easily and without errors.

Nostradamus Dashboard and managing based on numbers

In a time when margins are under pressure, managing by the numbers is a must. “Especially now, it’s extra important to manage by the numbers, because prices, labor costs, and purchasing costs are all really going up,” Yanou states. “And ultimately, there’s a limit to what you can charge for a carpaccio sandwich, for example.” The Nostradamus dashboard has become a crucial instrument in this regard. “We work very intensively with the dashboard in Nostradamus,” she says. The team actively uses the data to manage labor costs and productivity figures. This data also forms the basis for the weekly presentations to the management team.

Yanou emphasizes that the software offers much more than just employee scheduling. “Nostradamus is not just a schedule maker; the software has many more useful features: handy dashboards for productivity and labor costs linked to your POS system, different schedule views, shift labels, and I could go on… not all scheduling systems are this comprehensive.” The apps are also used intensively: “The Employee App is very well-organized and clear. I always explain it during onboarding, and we hardly get any questions. We also actively use the Management App, for example, to view revenue and schedules.” Even the owner uses the Management App to closely monitor the company’s performance.

Furthermore, the software itself is complete and accessible. “The software is very accessible and it’s simple to export things. It’s also very logical in its terminology and what everything means.” She also stresses the importance of the partnership with Nostradamus: “Compared to other companies, Nostradamus is a real standout in terms of communication.
